Before you start
- You can sign in to Aicountly Smart Books and open your company
- Some sales, purchases or other entries are already recorded
Steps
-
Step 1: Open Registers
In Aicountly Smart Books, click Registers in the main menu. The Registers page opens and asks you to choose a register type.
-
Step 2: Choose the Revenue Register or Expense Register
Click Revenue Register to see every income entry, including sales and also income booked through journals, receipts or notes. Click Expense Register to see every expense entry, including purchases, payments, journals and notes.
-
Step 3: Pick the period
Use the date filter at the top to choose the period you want, for example a preset period or your own start and end dates. The page refreshes with that period.
-
Step 4: Check the total against your Profit & Loss
Look at the bar above the table. A green message saying it ties to the Profit & Loss means the register total agrees with your Profit & Loss. An amber message shows the difference. Click Open Profit & Loss in that bar to compare the two side by side.
Tip: In the Expense Register, opening and closing stock come from Inventory, so they are not listed as entries.
-
Step 5: Choose how the entries are grouped
Use the switch on the right to pick Ledger-wise (grouped by account name), Voucher type-wise (grouped by kind of entry such as sales or purchases) or Line-wise (every single entry).
-
Step 6: Narrow the list
Use the Nature filter to show only Direct or Indirect items, the Ledger filter to pick one account, and the Voucher type filter to pick one kind of entry. Click Clear filters to start again.
-
Step 7: Look inside a row
In the Ledger-wise or Voucher type-wise views, double-click a row, or select it and press Enter, to see its entries line by line. In the Line-wise view you can open the entry itself from its voucher number.
-
Step 8: Export or print
Use the export buttons at the top right to save the list as an Excel file or PDF, or to print it.

Questions
Why is my income here when I did not make a sale?
The Revenue Register lists every income entry, whichever kind of entry recorded it. Interest or commission booked through a journal or a receipt appears here even though it is not a sale.
What does it mean if the register differs from my Profit & Loss?
The bar turns amber and shows the amount of the difference. Choose the same period in both screens first, then use the Line-wise view to look for the entry that does not belong.
Can I see only purchases or only sales?
Yes. Use the Voucher type filter, or switch to the Voucher type-wise view to see each kind of entry as its own row.
