Smart Books
Record a sales invoice with GST
Enter a sale for goods or services and let Smart Books work out the GST.
Before you start
Who this is for
Owners, accountants and staff who enter sales in the books.
Before you start
- The customer added as an account (under Sundry Debtors).
- Your sales account and, for goods, your items set up.
Steps
-
Step 1: Open a new sale
Open Transactions → Sales. Choose Without item for services or a simple amount (shortcut F8), or With item when you sell goods from stock.
-
Step 2: Pick the customer
Choose the Customer, then add your invoice or order reference. Smart Books fills the due date from the customer’s credit days.
-
Step 3: Check the place of supply
The place of supply decides the GST: within your state you charge CGST and SGST, to another state you charge IGST. Smart Books picks it from the customer’s address — check it is right.
-
Step 4: Add what you sold
Add a line for each product or service with its quantity or amount. The HSN or SAC code and GST rate come from the item or account; Smart Books adds the tax.
Tip: Press Ctrl+D on the last line to copy it.
-
Step 5: Save or post
Choose Save draft (F9) to finish later, or Post (F12) to put it in your books. If your company needs approvals, the button reads Submit for approval.
-
Step 6: Print or share
Once posted, print the tax invoice from the voucher. Your company logo comes from your company details in Manage, and the signature and stamp from Manage → Print Assets.
What happens next
The sale is in your books: the customer owes you the amount, your sales and GST figures go up, and the invoice will appear in your GSTR-1 for that month.
Questions
What is the difference between “with item” and “without item”?
With item is for goods you keep in stock, so quantities move in Inventory. Without item is for services or when you only need the amount.
I made a mistake on a posted invoice. Can I change it?
You can open and edit it if your profile allows; Smart Books may ask you for a reason. For a return or a price change after the sale, raise a credit note instead.
Can I bill faster at a counter?
Yes — the Billing app is built for quick bills, and every bill it makes is posted here in Smart Books.
