Before you start

Who this is for

Anyone who enters supplier bills and expenses.

Before you start

  • The supplier added as an account (under Sundry Creditors).
  • The supplier’s invoice — on paper, as a PDF or as a photo.

Steps

  1. Step 1: Open a new purchase

Open Transactions → Purchase and choose Without item or With item, just like a sale.

  2. Step 2: Or start from the document

Choose New from document and upload the supplier’s invoice as a PDF or image. Smart Books reads it and shows you what it found to confirm.

Tip: Uploaded bills wait in the Document inbox until you have checked them.

  3. Step 3: Enter the supplier and invoice number

Choose the Supplier and type the Supplier invoice no. exactly as printed. Smart Books warns you if that invoice is already booked.

  4. Step 4: Add the lines and GST

Add each purchase or expense line with its amount and GST. Smart Books takes the GST treatment from the supplier and the account you pick.

  5. Step 5: Post

Choose Post (F12), or Save draft to come back to it.

What happens next

You owe the supplier the bill amount, your expenses or stock go up, and the GST you paid is ready to be checked against GSTR-2B.

Questions

What file types can I upload?

One supplier invoice per PDF or image. Each file becomes its own job, which you review before a draft is created.

Does reading the document post it straight away?

No. You always confirm what was read, and finish the entry in the purchase screen yourself.
