Billing
Make a sales bill with GST
Pick the customer, add items by search or barcode, take payment if they pay now, and save — Smart Books adds the GST.
Before you start
Who this is for
Shop staff, billers and owners who make bills every day.
Before you start
- Your customers in Smart Books (or use a counter-sales account for walk-in customers).
- Your items in Inventory, if you sell goods.
Steps
-
Step 1: Start a new bill
Choose Sales → New bill. The bill number is given by Smart Books when the bill is saved.
-
Step 2: Choose the customer
Type in Search or select a customer. Their GST status is read from Smart Books, and what they already owe is shown next to their name.
-
Step 3: Check the place of supply
Place of supply decides the tax: within your state Smart Books applies CGST and SGST, to another state it applies IGST.
-
Step 4: Add the items
Search or scan each item, then set the quantity, rate and any Disc %. Rates come from the item in Inventory. If you keep stock in more than one place, pick the warehouse the goods go out of.
Tip: Press Enter to move to the next field, and use the keyboard shortcuts list to bill without the mouse.
-
Step 5: Record payment if they pay now
Under Payment & notes, enter Paid now and where the money was Received in — cash or bank. Leave it unpaid and the bill goes on the customer’s account.
-
Step 6: Save
Choose Save, or Save & new to start the next bill straight away. Until you save, nothing is sent to Smart Books — an unfinished bill is kept on this device as a draft.
What happens next
Smart Books posts the sale, numbers the invoice and works out the GST. The customer’s balance and your sales figures update straight away, and the bill is ready to print or share.
Questions
What if the connection drops while I save?
Billing tries again with the same request, so one bill is never posted twice. Anything that did not reach Smart Books is listed under Not saved yet.
My company is not GST registered. Can I still bill?
Yes. Smart Books raises the bill without GST when the company is recorded as not GST registered.
Can I add terms and conditions?
Yes. Add them on the bill, or save them as the default for everyone billing in your company if you can manage settings.
