Inventory

Check that stock agrees with Smart Books

Make sure the value of your stock in Inventory matches the stock figure in your accounts.

  • Month-end
  • 5 steps

Before you start

Who this is for

Owners and accountants closing the month or year.

Before you start

  • All stock documents for the period posted.

Steps

  1. Step 1: Open Reconciliation

Choose Reconciliation in the side menu.

  2. Step 2: Run a comparison

Choose Run Reconciliation for the date you want. Inventory compares its closing stock value with the stock balance in Smart Books.

  3. Step 3: Read the difference

Difference means Inventory value minus Smart Books balance. Zero means the two agree.

  4. Step 4: Find the cause

Open Item-wise variance to see which items cause the gap, and Posting status for documents still waiting on Smart Books.

  5. Step 5: Lock the period (optional)

Once everything agrees, an administrator can lock the period under Settings → Period locks so it cannot change by accident.

What happens next

Your stock and your accounts tell the same story, and each run stays on record with the difference it found.

Questions

The run says Smart Books was not reachable.

Only the Inventory side could be read, so no difference was worked out. Run it again in a moment.
