  • Get set up
  • 6 steps

Before you start

Who this is for

Anyone who adds products to the catalogue.

Before you start

  • At least one warehouse set up.
  • The item’s HSN code and GST rate.

Steps

  1. Step 1: Start a new item

Open Items and choose New item. The form is split into sections you can jump between.

  2. Step 2: Fill in the basic details

Under Basic Details, enter the Item name, SKU / item code and Item type. Scan the barcode if the product has one.

Tip: Inventory warns you if an item with a similar name or code already exists.

  3. Step 3: Group it

Under Classification, choose the Item group, Stock category and Brand. You can create a new one from the same box.

  4. Step 4: Set its units

Under Units & Packaging, choose the Base unit (for example pieces or kg) and add alternate units, such as a box of 12.

  5. Step 5: Add tax and accounts

Under Accounting, add the HSN / SAC, the Tax category and the Sales ledger and Purchase ledger it posts to in Smart Books.

  6. Step 6: Set stock levels and save

Under Stock & Locations, choose the Default warehouse, turn on batch, expiry or serial tracking if you need it, and set the Reorder point and Reorder quantity. Save.

What happens next

The item is in your catalogue. It can be billed in Billing, used on Smart Books entries, and shows up in low-stock lists when it drops below the reorder point.

Questions

What is the reorder point?

The stock level at which you want to buy more. The Replenishment report compares your stock against it.
