If you run month-end work for a small business, you already know the problem: the task is not hard, it is easy to forget until it is late. Reminders in Aicountly Notes attach a due date to a note, and then show every due date in one list. This guide explains how that list works, how to repeat a reminder, how snoozing behaves, and one limit you should know about before you rely on it.
What a reminder is in Notes
A reminder is a due date on a note. The reminders page says it plainly: the reminder appears on the Reminders page, on Home and on the note itself. That "note" part matters. Your reminder always points back to the page that explains the job, such as the checklist for your monthly filing or the working notes for a client call, so you never face a bare alarm and wonder what it was about.
Reminders are also personal. If you share a note with a colleague or your CA, each person sets their own reminder on it, and neither can see the other's. That suits compliance work, where you may want a nudge two days before your accountant does.
An important limit: no notifications yet
Notes does not send notifications for reminders yet. Nothing pops up and no email arrives when a reminder falls due. The Reminders page states this itself. A reminder is a due date shown inside the app, so you need to open Notes to see it.
In practice, treat Reminders as your daily "what is due" list rather than an alarm. Make opening it part of your morning routine, and keep a calendar alert for anything where a missed date carries a penalty.
Where to look: the Reminders page and Home
Open Reminders from the sidebar, or use the calendar button in the top bar ("Open reminders"). You can also type "remind" in the command palette to jump there. Reminders are sorted into groups in this order:
- Overdue – the due time has passed and the reminder is still open.
- Today – due later today.
- Upcoming – due after today.
- Completed and Cancelled – things you have dealt with.
A filter at the top switches between All and Still to do. Use "Still to do" for your working day and "All" when you want to check what you finished last week. Your upcoming reminders also appear on the Home page, where you can tick one off without opening the Reminders page. Notes that carry a reminder show a small bell on their card.
Picking a time quickly
When you set or edit a reminder, you choose a date and a time. Three shortcuts sit above the fields:
- Later today
- Tomorrow morning
- Next week
The dialog also shows which time zone the times are in, so there is no guesswork about whether 9:00 means your 9:00.
Repeating reminders for monthly and quarterly work
Most compliance work repeats, so the dialog has a Repeat setting with four choices besides "Does not repeat": Daily, Weekly, Monthly and Yearly. You can set an interval (every 2 weeks, for example) and, for a weekly reminder, pick the weekdays. You can also decide when the repetition ends: never, after a number of times, or on a date. The dialog shows a one-line summary such as "Every 2 weeks on Mon, Wed" before you save, which is worth reading once.
Some sensible uses:
- A Monthly reminder early in the month to start collecting sales and purchase data for your returns.
- A Weekly reminder on Friday to clear unreconciled bank entries.
- A Yearly reminder to begin year-end closing well ahead of the audit.
When you complete a repeating reminder, only that occurrence is completed and the reminder moves to its next time. If a reminder was created with a pattern the dialog cannot show, Notes leaves its rule alone unless you choose "Replace it".
Snooze without losing the date
Each open reminder has a Snooze button with these choices: 15 minutes, 1 hour, Tomorrow morning, or a date and time you pick yourself ("Snooze until then"). A snooze into the past is not accepted. A snoozed reminder is marked Snoozed and shows its new time. This keeps the task visible without pretending it is done.
You can also change a reminder's time from its row, delete it, or tick the circle to complete it.
A simple routine you can copy
- Keep one note per recurring job, with the steps written down. If you want a ready structure, see our guide to a monthly compliance checklist in Notes.
- Set a repeating reminder on each note a few days before the real deadline, leaving time to fix problems.
- Open Reminders each morning and work through Overdue, then Today.
- Complete the occurrence when the job is done, and snooze only when you have a firm new time.
- Use smart folders to gather the notes that still need action.
Statutory due dates, such as those for GST returns or TDS deposits, can change by notification, so check the official portal for the current date before you set a reminder, and confirm specifics with your CA.
Key takeaways
- A reminder is a due date on a note, listed on the Reminders page, on Home and on the note.
- Notes does not send notifications for reminders yet, so check the page daily and keep a calendar alert for penalty dates.
- Reminders are personal; people sharing a note each keep their own.
- Repeat daily, weekly, monthly or yearly, and end the repetition when you want.
- Snooze for 15 minutes, 1 hour, tomorrow morning, or a time you choose.
If your team keeps its working notes in one place, the Notes app from Aicountly gives those notes a due-date list of their own; you can read more on the Notes page.
