If your compliance notes live in one long notebook, finding "what is due this week" means scrolling and guessing. Smart folders in Notes fix that: you describe the notes you want once, and the folder keeps itself up to date. This guide shows how to build three smart folders for compliance work, using only the rules Notes actually offers.
What a smart folder is in Notes
A smart folder is a saved query, not a place you file things into. A note can match several smart folders at once, or none tomorrow if its tags or status change. Deleting a smart folder removes only the rules; as Notes itself says, "the rules go; the notes stay where they are."
You will find Smart folders in the sidebar, with a New smart folder button. Each folder has a name, an icon and a colour, and shows a count of matching notes next to its name. You can keep up to 50 smart folders, and each can hold up to 25 rules.
How the rule builder works
Every rule has three parts: a field, an operator and a value. Under Which notes you choose either Match every rule or Match any rule. Choose "every" to narrow a view down; choose "any" to gather notes from several sources into one list.
The fields are grouped, which makes the dropdown easy to scan:
- Place: Notebook and Tag.
- Content: Note type, Colour, Text, Has an attachment, Has a PDF, Has audio.
- Status: Pinned, Favourite, Archived, Has a reminder, Reminder overdue, Has open actions.
- People: Shared with someone, Owner, Linked record.
- Time: Created and Updated, each with "is before", "is after" or "is within the last" a number of days.
Before you build folders, make sure your notes carry tags. You add tags from a note's info panel, so a small habit of tagging each compliance note (for example "gst" or "tds") pays off later.
Folder 1: Overdue reminders
This is the one most owners need first. Create a smart folder named "Overdue" and add a single rule: Reminder overdue is on. Notes with a reminder that has passed show up here, and drop out once you deal with the reminder.
It pairs well with a recurring routine such as the one in our guide to a monthly compliance checklist in Notes: the checklist creates the reminders, the smart folder tells you which ones you missed.
Folder 2: Open work for one tax area
Say you want everything pending on GST in one place. Name the folder "GST - open", choose Match every rule, and add two rules:
- Tag is "gst".
- Has open actions is on.
Now every GST note that still has an unticked item appears in the folder. Duplicate the idea for TDS or payroll by changing the tag. If you want to prepare for monthly deadlines, our checklists for GST in November and PF and ESI payments give you the items to put in those notes.
Folder 3: Notes your CA should see
Choose Match every rule again and add Shared with someone is on, plus Updated is within the last 7 days. The folder lists recently changed notes that you have shared, which is a quick way to review what your accountant has been shown before a call.
Prefer a wider net? Switch to Match any rule and add a Has a PDF rule alongside Has an attachment to collect every note that carries a supporting document. If your documents are stored elsewhere, see how to share a document with your CA in Drive.
Searching by words
The Text field takes words to search for; the rule box even suggests a pattern like gst return "section 44". Use it to catch notes you forgot to tag, then add the tag so the Tag rule finds them next time.
Keep your folders healthy
- If a folder shows a Check rules badge, one of its rules can no longer be run, for example a notebook that was removed. Open Edit rules and fix or delete that rule.
- Counts stop at 500: a tooltip says "More than 500 notes match" when a folder is very broad. Add a rule to narrow it.
- A folder with no rules matches every note you can open, so always add at least one rule.
Key takeaways
- A smart folder is a saved set of rules; notes stay where they are.
- Tag compliance notes consistently so the Tag rule is reliable.
- Use "Reminder overdue" for a missed-deadline view and "Has open actions" for pending work.
- Choose "Match every rule" to narrow, "Match any rule" to gather.
- Tax and compliance rules change, so confirm specific deadlines on the official portals or with your CA.
