Smart Books
Set up your company in Smart Books
Create your company once — name, PAN, GSTIN, financial year and address — and you are ready to make entries.
Before you start
Who this is for
Business owners and accountants opening Smart Books for the first time, or adding another business they look after.
Before you start
- Your business name and its type — for example proprietorship, partnership or private limited.
- Your PAN and GSTIN, if you have them. Both are optional and can be added later.
Steps
-
Step 1: Open your list of companies
Sign in and open Smart Books from the app launcher. You land on the list of companies you can open.
Tip: If your team already uses AICOUNTLY, look through the list first, or choose Browse all workspace companies, so the same company is not created twice.
-
Step 2: Start a new company
Choose Create New Company. Only two things are required, so this takes about a minute.
-
Step 3: Enter the basics
Type the Company name and choose the Constitution type. Add your PAN and GSTIN if you have them — Smart Books checks them so that one business is registered only once.
-
Step 4: Check the financial year
FY start and FY end are already filled in for the usual Indian year, April to March. Change them only if your year runs differently.
-
Step 5: Choose how stock is valued
If you sell goods, pick a Stock valuation method — FIFO, LIFO or weighted average. If you are not sure, keep the default and ask your accountant later.
Tip: This can be changed later in company settings.
-
Step 6: Add your address and save
Fill in the registered office address. If you receive post at the same address, leave Correspondence address is the same as the registered office ticked. Save, and your new company opens.
What happens next
Your company opens on the Smart Books dashboard and appears in your company list. Because companies are kept in one place for the whole suite, the same company is ready in Billing, Inventory and the other apps — you never type it in again.
Questions
Do I need a GSTIN to start?
No. Only the company name and constitution type are required. You can add your PAN and GSTIN later.
Smart Books says this company is already registered. What should I do?
Someone in your team, or your accountant, has already created it. Ask for access to that company instead of creating a second copy.
Where do I add a branch or another financial year?
Branches and financial years are kept in Manage, so every app sees the same ones. The Manage guides show how.
