Smart Books
Match your bank statement with your books
Upload your bank statement, match it to your entries, and find what is missing — usually once a month.
Before you start
Who this is for
Owners and accountants who check the books against the bank.
Before you start
- Your bank statement for the period as a CSV file (most banks let you download one).
- Your receipts and payments for the period entered in Smart Books.
Steps
-
Step 1: Open Bank Reconciliation
In the side menu, choose Bank Reconciliation (BRS) and select your bank account.
-
Step 2: Upload the statement
Choose Upload Statement and pick the CSV file. Book entries and bank lines for the period appear side by side.
-
Step 3: Let Smart Books match what it can
Choose Auto Match. Entries with the same amount and a close date are paired up for you.
-
Step 4: Sort out the rest
Match the remaining lines by hand. For a bank charge or interest that is not in your books yet, choose Create Voucher. Use Ignore for lines that do not belong.
Tip: Cheques you issued that have not cleared yet are carried forward as outstanding items, so they do not need to be fixed.
-
Step 5: Finish the session
When the closing difference is zero, submit the reconciliation. You can export it as PDF, Excel or CSV for your records.
What happens next
Your bank balance in Smart Books agrees with the bank, every bank charge is recorded, and a saved reconciliation shows exactly what was matched.
Questions
Can Smart Books fetch my statement directly from the bank?
Where Connected Banking is available for your company and bank, you can link the account from the Connected Banking screen. Otherwise, download the statement from your bank and upload it as a CSV file.
How often should I do this?
Monthly is common, and always before you prepare your GST returns or close the year.
