Smart Books
Give your team or accountant access to Smart Books
Let a colleague or your accountant work in your books, and decide what each person can do.
Before you start
Who this is for
Company owners and administrators who want others to help with the accounts.
Before you start
- You own the company, or have been given permission to manage the team.
- The person already has an AICOUNTLY account, or an invitation from Manage.
Steps
-
Step 1: Share the company first
People are invited to a company from Manage → Companies → Share company. You can choose their Smart Books access right there.
-
Step 2: Open Access & Team in Smart Books
In Smart Books, open Operations and choose Access & Team.
-
Step 3: Turn on Smart Books for the person
Under Users & Access, give the person access to Smart Books for this company.
-
Step 4: Choose what they can do
Under Access Profiles, pick or adjust a profile — for example someone who only enters data, and someone who can also see GST and reports.
-
Step 5: Ask for approval on important entries (optional)
Under Approval Policy, decide which entries need a second person to approve them. Waiting entries appear in Operations → Team Approvals.
What happens next
The person can open your company in Smart Books and sees only what their profile allows. Entries that need approval show Submit for approval instead of Post.
Questions
My colleague sees “Permission required”. Why?
Their profile does not include that screen. Change their profile under Operations → Access & Team.
Do I pay extra for each person?
See the pricing page for current plans, or ask our support team.
