Before you start

The Revenue Register and the Expense Register list every posting behind the income and expense totals on your Profit & Loss. They help you see exactly which entries make up a total, and they aim to tie to the Profit & Loss for the same dates.

Before you start

  • Open the company you want to look at.
  • Decide the dates you want to check, for example the current financial year.

Open the register

  1. Open the Registers menu in the top bar.
  2. Under Revenue & Expense, choose Revenue Register for income or Expense Register for expenses.
  3. Pick your dates with the date filter at the top.

You can also start from the Profit & Loss report. It has Revenue Register and Expense Register buttons in its header, and they open the register for the same dates.

What the register shows

The Revenue Register lists every entry posted to an income account, whichever voucher posted it. That includes Sales vouchers, and also journals, receipts and notes (for example interest or commission you earned). The Expense Register does the same for expense accounts, including Purchase vouchers, payments, journals and notes. This is why it can show more than the Sales Register or Purchase Register, which list only their own vouchers.

Cards at the top show the total, the direct and indirect parts, the amount posted by Sales (or Purchase) vouchers, the amount from other vouchers, and the figure as per the Profit & Loss. Select a card to jump to that part.

Choose a view

Use the switch on the right to change the view:

  • Ledger-wise shows one row per account with the number of lines and the amounts.
  • Voucher type-wise shows one row per voucher type, such as Sales or Journal.
  • Line-wise shows each entry with its date, voucher number, type, party, ledger, nature and narration.

In the ledger-wise and voucher type-wise views, double-click a row (or press Enter) to see its entries line by line. In the line-wise view, select a voucher number to open that voucher.

Narrow the list

Use the Nature filter to choose direct or indirect, the Ledger filter for one account, and the Voucher type filter for one type of voucher. Select Clear filters to remove them. These filters narrow the line-wise view; the summaries always cover the whole register.

Check it against the Profit & Loss

A bar under the filters tells you whether the register ties to the Profit & Loss. A green bar says Ties to the Profit & Loss and shows the amount. An amber bar says Differs from the Profit & Loss and shows the difference. Select Open Profit & Loss in the bar to compare. On the Expense Register the bar also reminds you that Opening and Closing Stock come from Inventory and are not voucher lines.

Export or print

Select Export, then Excel (.xlsx) or PDF (.pdf), or select Print. These stay unavailable when the register has no entries.

If something looks wrong

  • If you see No postings, change the dates or clear the filters.
  • If the bar says the register differs from the Profit & Loss, compare both for the same dates and filters.
