What the Audit trail is for
The Audit trail is a record of who did what, and when, to your notes, notebooks, tags, shared access and more. It is useful when you need to know who changed a note, who was given access, or what happened to a note that has since been deleted. The record is kept even after the note is deleted, and nobody can edit it. It also never shows what a note says. An edited note appears as "changed".
Who sees what
If you are the owner of the company, you see the trail for the whole company. Anyone else sees the trail for their own workspace: what they did, and what other people did to their notes. The line under the page heading tells you which of the two you are looking at.
Find an entry
- Open the Audit trail. Select Audit trail at the bottom of the left menu, just above Help.
- Choose dates. Pick a day in From and in To if you only want one period.
- Choose what to look at. The What list starts on Everything. Pick Notes, Notebooks, Sharing and roles, Comments, Attachments, Tags, Templates, Smart folders, Actions, Reminders, Meetings, Transcripts, Linked records or Audit log to narrow the list.
- Search or pick a person. Search matches the title, the action and the person. Person takes a user ID.
- Select Apply. The table shows When, Action, Record, Summary and Person. Entries marked with a warning or security badge deserve a second look.
The list shows one page at a time. Under the table, a line such as 1–25 of 140 tells you where you are. Select Older to go further back and Newer to come forward again.
See the details of one entry
Select the name in the Record column. A panel opens on the right with the time, the person, the record, and how serious the entry is. Under Changes, you see each field with its Before and After value. If nothing was recorded for the action, the panel says so. Select Close when you are done.
Keep a copy
Select Export CSV to download the entries that match your current filters as a file you can open in a spreadsheet, or send to your accountant. If there are too many rows, only the first rows are exported and you are told to narrow the filters. Use the date range or the What list, then export again.
If you see nothing
The message "Nothing recorded for these filters" means no entry matches. Select Clear and try a wider date range.
