What Admin Reports shows
Admin Reports is a single page in Drive that answers two questions an administrator often has. Which documents are on legal hold, meaning they must be kept as they are? And what happened to the files you brought in through import jobs? Both lists are for the company you are working in.
Before you start
- To see the legal hold list, you need to own a document in the company, or be allowed to delete one.
- To see the import jobs list, you need access to the company in Drive.
If you do not have the right access, the page does not hide the section. It shows a short note telling you what is missing.
Open the page
- In Drive, select Admin Reports in the left menu.
- Wait for the page to load. A spinner shows while the two lists are being fetched.
- Read the heading, which says Legal hold audit and import job history.
Read the Legal hold list
The first section is called Legal hold, followed by the number of documents in brackets. Each row is a document that is currently held. You see its Doc ref (its reference), Title, Product, Retention (the retention class it belongs to) and when it was Updated.
If nothing is held, the section says No documents on legal hold. That is a normal, healthy state.
Read the Import jobs list
The second section is Import jobs. Each row is one import, with its Job ref, the Product it came from, the File name, its Status and when it was Created. Use it to confirm that a file you imported was picked up, or to find the reference to quote when you ask for help. If you have not imported anything, it says No import jobs yet.
Keep the figures fresh
Select Refresh at the top right to load both lists again. Do this after you place or release a hold, or after an import finishes.
If something looks wrong
- If a section says you need to own a document or be allowed to delete one, your access is not enough for the legal hold report. Ask an administrator.
- If a section says you need access to the company in Drive, ask for access.
- If a section shows an error, select the retry option shown with it, or Refresh.
