Smart Books creates a set of default accounts for every company, such as Cash, Round Off and the GST output accounts (CGST Output, SGST Output and IGST Output). Other parts of the app depend on them. If one of these accounts goes missing, you can bring it back with one button instead of creating it by hand.
Before you start
- You need permission to edit accounts. If you do not see the button described below, ask your company administrator to give you access.
Restore the missing accounts
- Open Masters and select Accounts. The Accounts list opens.
- Find the Restore System Accounts button at the top of the page, next to the export menu. If you hover over it, a tip explains that it recreates any missing default accounts.
- Select Restore System Accounts. The button shows Restoring… while it works.
- Read the message that appears. It stays on screen for a few seconds.
What the message tells you
If something was missing, you see a message such as Restored 2 system account(s), followed by the names of the accounts that were brought back. The Accounts list then refreshes, so the restored accounts appear in it straight away.
You may also see Relinked 1 tax category ledger mapping(s). This means a tax category that was not pointing to any account has been connected to a restored account, so your GST entries post to the right place again.
If nothing was missing, you see All system accounts are already present — nothing to restore. Nothing has changed and you do not need to do anything else.
Good to know
- System accounts are created by Smart Books itself. They cannot be deleted, which is why a restore button is useful if one is lost from the list.
- Pressing the button more than once is safe. It only adds what is missing.
If the restore does not work
- If you see Restore failed or another error message, check your internet connection and try once more.
- If the button is not on the page, your login does not have permission to edit accounts. Ask your administrator.
