Before you start

When you take cash from the till to the bank, record it in Billing so your cash and bank balances stay correct. Billing sends the entry to Smart Books, so your books update too.

Before you start

  • Choose your company. If you see a message asking you to choose a company, pick one first.
  • Your login needs permission to record bank entries. If Bank deposit is missing from your menu, ask your administrator.
  • Have the deposit slip or cheque in front of you.

Record a deposit

  1. Select Bank deposit from the quick actions. The Bank deposit page opens.
  2. In Deposit amount, type the amount in rupees, for example 15000 or 15000.50. It must be more than zero, with at most two decimal places.
  3. Check the Date. It starts on today's date. It must fall inside your current financial year.
  4. Under Deposit type, choose Cash deposit or Cheque deposit.
  5. For a cheque, type the Cheque number. You can also set the Cheque date.
  6. In Cash taken from, choose the cash account the money came from.
  7. In Paid into bank, choose the bank account that received it. The two accounts cannot be the same.
  8. In Reference, type the slip number, UTR or cheque number. This is optional, but it helps when you match your bank statement later.
  9. Optionally, add a photo of the stamped slip under Attachments, and any remarks under Additional notes.
  10. Select Save deposit. The button shows Recording… and then a message says Bank deposit recorded successfully.

What you see on the right

The Deposit summary repeats what you typed. Recent deposits lists your latest entries, with a View all link. If you enter a deposit with the same date, amount and accounts as a recent one, a warning says Possibly already recorded, so you can check before saving a second time.

Save for later

Not ready to finish? Select Save as draft. The page then shows a Draft label and the button changes to Update draft. Select Reset to clear the form; you are asked to confirm if you have typed anything. If you try to leave with unsaved changes, Billing asks whether to discard them.

If something goes wrong

  • If the date is refused, pick a date inside the financial year named in the message, or switch year at the top.
  • If you see Source and destination accounts cannot be the same, choose a different bank account.
  • If a cheque deposit shows Enter the cheque number, fill in the cheque number.
  • If your accounts could not be read, select Try again.
  • If the entry did not reach Smart Books, you see Could not record this deposit. Use the retry shown there rather than typing it again.
