What the Day Book is
The Day Book is a running list of every voucher in your company for a chosen period, in date order. It is the quickest way to answer questions such as: what was entered last week, did yesterday's payment get recorded, or what did we post on the last day of the month? Unlike a ledger, it is not about one account. It is about everything that happened.
Open the Day Book
- Select Reports in the top menu.
- Under Ledgers & Books, select Day Book.
- Look at the Period badge near the top right. It shows the dates the list covers. If no dates are chosen it says Current month.
Use the Reports link at the top left of the page if you want to go back to the reports page.
Read the columns
- Date is the voucher date.
- Voucher is the voucher number.
- Type is the kind of voucher, such as a sales or payment voucher.
- Curr and Rate show the currency and exchange rate for a foreign currency voucher. Ordinary vouchers show INR and a dash.
- Narration is the note typed on the voucher.
- Debit and Credit are the voucher totals.
If the list is long, use the page controls at the bottom to move between pages or to change how many rows you see on a page.
Open a voucher from the list
Select the voucher number, or press the row, to open that voucher. This is handy when a narration or amount does not look right and you want to see the full entry. Rows that cannot be opened are not highlighted as clickable.
Export or print the list
- Select Export above the table.
- Choose Excel (.xlsx) or PDF (.pdf).
- Or select Print to print the list.
The export contains all vouchers in the period, not just the page you are looking at. The buttons are greyed out when there is nothing to export or while an export is already running.
If the list is empty or an error shows
- No vouchers means none were found for the selected period.
- If an export fails, an error message appears. Try again after a moment.
