Why set a limit
A warehouse limit is the largest number of stock units you want that store to hold. Once you set it, Inventory compares the stock on hand with your limit and shows how full the warehouse is. This helps you spot a store that is nearly full before you buy or move more goods into it.
Before you start
- You need permission to edit warehouses.
- To see how full a warehouse is, you also need permission to read the warehouse stock report. Without it, the stock and utilisation columns show a dash.
Set the limit
- Go to Masters and select Warehouses.
- Select the warehouse you want to change. The Edit warehouse window opens.
- Find the Capacity section. Type a number in Maximum stock units. Leave it empty if the warehouse has no fixed ceiling; its utilisation is then shown as not configured.
- If you wish, fill in Area and choose an Area unit. These are for your own reference.
- Select Save changes.
The number cannot be negative.
Read how full it is
In the warehouse list, three columns work together. Capacity shows your limit in units. Current stock shows the units on hand. Utilisation shows the percentage and a bar. The bar is grey while the warehouse is empty, then turns amber and red as it fills. A warehouse up to 70% full is within capacity, above 70% it is filling up, and above 90% it is over 90% full. The percentage is always printed beside the bar, so you never have to rely on colour alone.
Use the Capacity view
Above the list, select the Capacity view tab. It lists every warehouse that has a limit, fullest first, with a line such as "120 of 500 units". Select a warehouse to open it for editing. If some warehouses have no limit, a note tells you how many are not listed.
Good to know
- Stock that has gone below zero counts as empty on the bar; the Current stock column still shows the minus sign.
- You can find the same information under Quick insights on the Warehouses screen, which points out warehouses that are over capacity or have no limit.
