Before you start
Exporting turns the bills on the Money to Collect screen into a spreadsheet file you can open in Excel or Google Sheets. It is handy when you want to share the list with your accountant or chase payments offline. Money to Collect lists the bills your customers still owe you.
The exported file has one row per bill with these columns: Bill, Dated, Party, Due, Days overdue, Bill amount, Received, Outstanding, Status and Ageing. "Party" is the customer, and "Outstanding" is what is still unpaid on that bill.
Export the bills you are looking at
- Open Money to Collect.
- Narrow the list if you want to. Use the search box, or pick a party, a status such as Overdue, or an age from the filters above the list. More filters lets you set amounts, due dates and how many days late.
- Select Export at the top right of the screen.
- Choose Everything in this view. The number in brackets tells you how many bills will be in the file.
Your browser downloads a file named money-to-collect-view followed by the date, ending in .csv.
Export every open bill
Open Export and choose Every open bill. This ignores your filters and includes all the bills still owed to you.
Export only a few bills
- Tick the box next to each bill you want in the list.
- A bar appears showing how many bills you have selected and their total.
- Select Export these.
Use Clear in the same bar to untick everything.
Get the ageing report
The Export menu also has The ageing report, built by the server. This is a ready-made report showing how old your unpaid bills are. It needs permission: if your Billing profile does not export reports, the option is greyed out and says so. Ask the person who manages your Billing access to change that.
If nothing downloads
If your list is empty, or your filters match no bills, you will see the message "There is nothing in this view to export." Clear the filters or choose Every open bill.
