How to create an account group in Smart Books

Add your own account group under an existing group so related ledgers appear together in your reports.

Before you start

What an account group is

Account groups organise your accounts (ledgers) so your reports are tidy. For example, you might want all your branch bank accounts, or all your marketing expenses, to sit together. Aicountly Smart Books already has standard groups. You can add your own underneath them.

Before you start

  • Open the company you want to work in.
  • Decide which existing group your new group belongs under. A new group must always sit under another group.

Add a group

  1. Select Masters in the menu, then Account Groups.
  2. Select Add Group.
  3. Type the Name. It is required.
  4. Type an Alias if you like. It is optional.
  5. Choose the Parent group. The field starts on — Select parent group —. A note under it reminds you that every custom group must sit under an existing group in the chart.
  6. Save the form.

If you forget the parent, you will see Please select a parent group. When it works, you will see Group created and the new group appears in the list. If Aicountly Smart Books cannot save it, for example because of a problem with the name, it shows a message explaining what to fix.

Use the group on an account

When you add or edit an account, search for your new group in the Account group field. Standard groups are listed first when you tick Assign under predefined reporting group, but searching still finds your own sub-groups.

Edit or delete a group

Open the group from the list to see Edit Account Group. After saving you will see Group updated. Set Active to No if you want to stop using a group without deleting it.

To delete a group, use the delete option and confirm Delete this group?. You will see Group removed from your chart. A group that still has child groups or accounts under it cannot be deleted, and Aicountly Smart Books tells you how many are blocking it. Move or delete those first.
