What a payment link does
A payment link lets your customer pay a bill online through Aicountly Pay. You ask for the link from the bill, send it to the customer, and watch the payment status on the same screen. Billing does not record the money itself. Smart Books posts the receipt once Pay confirms the payment, so there is no “mark as paid” button.
Before you start
- The bill must be a sale that is already saved in Smart Books.
- Aicountly Pay must be connected for your company. If it is not, the card says Online payment is not set up.
- Something must still be due on the bill.
Get a payment link
- Select Sales and open the bill. The bill page has a Collect online card.
- Select Get payment link.
- In Amount to collect, type an amount in rupees, or leave it blank to ask for everything still due in Smart Books.
- If you want, choose a Last day to pay. The link stops working after this day.
- Tick Let the customer pay in parts if you accept part payments.
- Select Get payment link again to confirm.
Enter rupees with at most two decimals, and more than zero. If the request is only half done, the button reads Finish getting the link. Select it to complete the request.
Send the link
When the link is ready, it appears in a box on the card. Select Copy link, then paste it into an email or message to your customer. The button briefly says Copied.
Follow the payment
The card shows a status badge and these figures: Asked for, Paid through Pay, Still to pay and Last day. A Waiting to be confirmed figure appears when a payment needs a second person in Pay to confirm it. Each payment is listed with its amount, method, status and date. Select Refresh to read the latest from Pay.
The message at the top of the card tells you where things stand, for example Waiting for the customer, Part paid, Link expired or Paid through Pay — recorded in Smart Books. If it says the payment is paid in Pay but not yet in Smart Books, wait a little and refresh.
Cancel a link
- On the Collect online card, select Cancel link.
- Type the reason in Why is it being cancelled?
- Select Cancel link.
If the customer has already paid through the link, you will see how much was paid. Cancelling stops further payment but does not refund anything, and Smart Books keeps the receipt for what was paid. Select Cancel it anyway to go ahead.
