When to change several batches together

A batch has a status that tells your team whether its stock can be used. A supplier may warn you about a faulty lot, a batch may pass its expiry date, or a finished lot may no longer be needed. Changing these one by one is slow. The Batches page lets you select many batches and change their status in a single step.

Before you start

  • You need permission to change batches. Without it, the Change status option is not shown.
  • Know which status you want. The choices are active, quarantine, recalled, expired and closed.

Select the batches

  1. Open the Batches page under Masters.
  2. Tick the box at the start of each batch you want to change. To pick everything shown, tick the box in the column heading, labelled Select every batch on this page.
  3. A bar appears above the table that says how many are selected, and that they are on this page.

A selection holds only for the page you are looking at, so change one page at a time. Select Clear selection to start again.

Change the status

  1. In the bar, select Change status.
  2. Choose one of Mark as active, Mark as quarantine, Mark as recalled, Mark as expired or Mark as closed.
  3. A box asks, for example, Mark 3 batches as quarantine? Read it and select Apply status, or cancel to stop.

Choosing recalled is shown as a serious action, so the confirmation button is highlighted in red.

What the change does

The status is saved on each batch and shown wherever the batch appears, including the batch choices inside stock documents. Nothing is deleted and no stock moves. Every change is written to the audit log, so you can see afterwards what happened.

Other things the bar can do

  • Print labels for the selected batches, if you have permission.
  • Export selection to save the chosen batches to a sheet.

Good to know

If you want to stop using a batch that has history, close it instead of deleting it. A batch that has stock, movements or document lines cannot be deleted, and closing it keeps the record.
